# Mobile App Guide

The Rinsebase Crew app is where your crew see their day, clock in, work the checklist room by room, take photos and close out each clean. This guide walks through the app screen by screen so you can train new crew and answer their questions.

## Install and sign in

### Get the app

* **iPhone**: [Download from the App Store](https://apps.apple.com/app/id6761374368)
* **Android**: [Download from Google Play](https://play.google.com/store/apps/details?id=com.rinsebase.app)

The app shows up on the phone as **Rinsebase Crew**.

### Accept the invite

When you invite a crew member from the web app, they get an email with a **Set up my account →** button. The link is valid for 30 days.

1. The crew member taps **Set up my account →**.
2. They enter a password (at least 8 characters) in **Create password** and **Confirm password**, then tap **Set password & log in**.
3. They open the app and sign in with the same email and password.

If the link has expired, the page says so. Resend the invite from the web app. For the full invite steps, see [Crew Management](/crew-management.md).

### Signing in and resetting a password

The sign-in screen asks for **Email** and **Password**, then **Sign in →**. If they forget their password, they tap **Forgot your password?**, enter their email, tap **Send code**, then type the code from the email and a new password and tap **Set new password →**.

### Permissions the app asks for

| Permission | Used for |
| ----------------- | ----------------------------------------------------------------------------------------------------------- |
| Location | GPS stamps on clock-in and clock-out, arrival prompts, the dispatch map, leave-site reminders, mileage |
| Location "Always" | Asked at clock-in, **On my way** and **Start my day**, so tracking keeps working with the phone in a pocket |
| Notifications | New-job and reschedule alerts, arrival prompts, leave-site reminders |
| Camera | Job photos, required photos, property photos, incident photos |

If a permission was turned off, the app points the crew member to **Settings → Rinsebase Crew** on their phone to turn it back on.

### Language

The app runs in English, Spanish and Portuguese. Crew choose **🇺🇸 English**, **🇲🇽 Español** or **🇧🇷 Português** at the bottom of the **Profile** tab. The whole app switches right away. The app starts in English until they pick.

## The tabs

## Home

At the top: a greeting, the date and the **SOS** button. Under that is a stats bar with **Today**, **Done**, **Remaining** and **This month** (cleans completed this month).

Below that, in order:

* **Get ready for today**: a prep card that shows only the lines that apply to today's remaining cleans:
  * **Linens to bring**: each property's linen set plus any extras added for that booking. Off by default. Turn it on with **Crew packs their own linens** under **Settings → Features**.
  * **Guests arriving today**: properties with a check-in today.
  * **Supplies to restock**: items still marked low from a past visit.
  * **Check access**: properties with no lockbox code or entry instructions on file. Crew can tick lines off. Ticks are saved only on their phone.
* **Active job in progress** and **Next job**.
* **Today's jobs**, in route order. Cards show a **Turnover** badge, **Back-to-back** for tight turnover windows, and **Stop k of M** when dispatch set a route. A cancelled clean still shows as a **Cancelled** card, so nobody drives to it.
* **Needs closing**: cleans left open from an earlier day. Each one shows **✓ Ready to close** or how many photos are still needed.
* **My earnings this month**: pay calculated the same way as your Payroll page, plus cleans **Done** and **Total time**.

### Day-long shift mode

By default, crew clock in and out of each clean. If your account uses day-long shift tracking, **Home** shows a **Start my day** button instead. The crew member taps it once, and their hours come from the shift. On each clean they tap **Start job** and **Complete** (status and photo proof only), and at the end they tap **End my day**. There's no in-app switch for this mode. Contact support to change it.

## Working a clean from start to finish

The job screen shows the property photo, times, address (tap for directions), beds, baths and square feet, **Crew door code**, **Lockbox code**, **Arrival instructions**, **Property notes**, **Job notes**, laundry bag color and **Crew on this job**. On turnovers it also shows **Guest checkout**, **Next guest check-in**, guest count and pets on the booking. If the property has no photo, crew can tap **Take property photo**.

A row of buttons sits under the details: a call button, **Job Photos**, **Staging photos**, **Supplies** and **Messages**. The call button reaches dispatch, unless you turn on **Let crew contact clients directly** under **Settings → Company**. Then it calls the client.

### 1. On my way

On a scheduled clean, **🚗 On my way** sets the job to En route (purple on your dispatch board) and starts sharing location so dispatch can see them driving. Pay doesn't start until they clock in.

### 2. Clock in

The crew member taps **Clock in** when they arrive. The punch is stamped with their GPS position.

**Arrival prompts.** If the phone allows location "Always", the app sets a 150 m fence around each of today's properties. When the crew member arrives, they get a **You have arrived** notification. When they clock in, the time is set back to the moment they arrived, but never earlier than 30 minutes before the scheduled start. There are no fences on properties with only an approximate map pin, and none in day-long shift mode.

**Auto clock-in on arrival** (Growth plan and up, **Settings → Features**) clocks the crew member in without a tap. It only happens when a fresh GPS fix confirms they're inside the fence, they aren't moving at driving speed, and the clean starts within 30 minutes. They get a **Clocked in automatically** notification.

If the property needs specific photos, a **Photos needed here** message tells the crew member how many right after they clock in.

### 3. Checklist by room

The **Cleaning checklist** appears once the clean is started. It's laid out room by room, and the header shows **Rooms** done out of the total.

* **Tasks**: tap to tick. A task marked **Photo required** needs its photo before it can be ticked.
* **Checks** (◇): answer **OK**, **Issue** or **N/A**. An issue asks what's wrong and sends it to the office with **Report**. It holds guest-ready but doesn't stop the crew from completing.
* **Room-complete rooms**: show the standard to work to, then **Complete room** to sign off.
* Each room has a **Report an issue in** link.

### 4. Photos

**Required property photos** are taken inside each room on the checklist (**Take photo** / **Retake**). They open the camera directly, and the room shows how many are left. They only block completion when **Require property photos to complete** is on under **Settings → Features**.

**Job Photos** is for general shots. Crew pick **Before**, **After**, **Damage** or **Other**, add an optional note, choose **Visible to client** (on by default), and tap **Take Photo**. Photos here don't count toward required property photos. Saving a **Damage** photo offers **Flag for report**, which files an incident report for you to review. To add a note to a photo or delete it, long-press the photo.

### 5. Supplies

**Supplies** lists the property's supplies by room. Crew tap **Mark low** on anything running out. **Add counts** lets them record **Used** and **Count left**. A count below par is flagged automatically. Linens show as a separate **Packed** list. They can add a note for you, then tap **Save**. Low items show up in your restock alerts.

### 6. Staging photos

If you've uploaded staging photos for the property, **Staging photos (N)** opens them full screen, grouped by room, so crew can match how the property should look when it's finished.

### 7. Reports, flags and notes

While a clean is in progress, cards below the checklist let crew:

* **📋 Report an issue**: Damage, Missing item, Maintenance needed, Pest issue, Safety hazard, Lost & found or Linen, with a severity, a description and photos. You review it before anyone else is told.
* Mark **All laundry done on-site**, and log take-home laundry bags if you pay a laundry bonus (STR and property-manager cleans).
* Rate **How did the guests leave it?** (STR and property-manager cleans).
* Tick **Pets at this clean**, which adds the property pet fee to the clean's invoice. It only shows on pet-friendly properties or properties with a pet fee set.
* Add **Notes (optional)**. These are saved to the job's notes when the clean is completed.

### Pausing

**⏸ Pause** asks **Why are you leaving?**: **Waiting for laundry**, **Going to another job**, **Supply run**, **Waiting for access**, **Break** or **Other**. Pausing closes the current time session, so paused time isn't paid. **Resume** starts a new session. Each session and its reason shows in the **Time tracker**.

### Completing the clean

The crew member taps **✓ Complete**, then **Complete** again to confirm. Before it goes through, the app checks the same rules as the web app:

* at least one After photo, if **Require an after photo to complete** is on (**Settings → Features**, on by default)
* every photo a task requires
* required property photos, if that setting is on
* required checklist items, if **Require checklist items to complete** is on
* on a clean with a lead, only the lead can complete. Everyone else sees **Lead sign-off**.

If something is missing, the app lists it and takes the crew member straight to it. If the property allows pets, the app asks **Did this stay have pets?** as the last step.

When a clean is completed, the crew member is clocked out and the clean is marked Completed. Then:

* If **Auto-create invoices** is on (it is by default, on every plan), a **draft** invoice is created. Nothing is sent to the client automatically unless you've turned on **Auto-send invoices** (Growth plan and up).
* Your client gets a cleaning-completed notice, unless you've muted that client or turned on **Review before notifying clients**.

After you file an inspection on a clean, the crew who did it see **Inspection results** on the completed job.

## Inspections

Crew with the **Inspector** role (or anyone assigned to an inspection) see inspection visits marked 🔍 **Inspection**. Inspections are created automatically when a clean finishes at a property with inspection rules turned on. On the visit, **Inspection** opens the form. It shows the standard the crew signed off on and the staging photos. The inspector picks **Pass**, **Pass with corrections** or **Fail**, records any minutes spent correcting, adds **Notes**, and taps **Complete inspection**. Filing clocks them out and closes the visit. A filed inspection can't be edited.

## Laundry runs and tasks

* **Laundry runs** (🧺, Growth plan and up) open a **Laundry form** for cash reconciliation: **Cash given to you**, **Starting card balance**, **Cash loaded to card**, **Ending card balance** and **Cash left in pouch**. The app works out **Spent at laundromat**. A run can't be completed until the cash adds up.
* **Tasks** (📌) show the task title from your note. They have a clock and **Complete**, but no checklist, photos or supplies.

## Leave-site reminders

While a crew member is clocked in, the app checks their location about every 5 minutes. If they're more than 300 m from the property, they get **Still clocked in!**. This reminder needs location set to "Always". In day-long shift mode it says **Not marked complete** instead. Separately, if someone is still clocked in 30 minutes past the clean's scheduled length, they get a text reminder (if their profile has a phone number), at most once every 4 hours.

## SOS

(Every plan.) The **SOS** button on **Home** opens **Emergency SOS**. The crew member presses and holds for 3 seconds. That sends a push alert with their GPS location to every owner, manager and dispatcher, and it shows up on your **Safety alerts** page. After the alert goes out, the phone keeps sharing its location once a minute for up to 4 hours. If it was a mistake, they tap **I'm OK — Cancel SOS**, which marks the alert as a false alarm and stops location sharing. **Call 911** dials 911 directly.

## Mileage

* **GPS**: pick a purpose, tap **▶ Start tracking**, then **⏹ Stop & save** on arrival. Then **Submit for approval**. Trips under 0.1 miles aren't saved.
* **Manual**: **+ Log trip** → **Date**, **From**, **To**, **Miles**, **Purpose** → **Save trip**.

Purposes: **Job travel**, **Supply run**, **Equipment pickup**, **Client meeting**, **Training**, **Other**. The estimated reimbursement uses your company's mileage rate. Each trip shows as **Pending**, **Approved** or **Flagged**, and the top of the tab totals **Total miles**, **Pending** and **Approved**.

## Chat and job messages

The **Chat** tab has **# Team channel** and **💬 Direct message** lists. **+ Group** creates a group chat with at least 2 members. **Messages** on a job opens a thread for that clean, which you see in the job panel on the web. Both let crew attach a photo from the camera or photo library.

## Profile and time off

**Profile** shows contact info (tap **Edit** to update phone and email), pay type and rate, language and **Sign out**. Under **Time off**, crew enter a **Start date** and **End date** (YYYY-MM-DD), pick a **Type** (**PTO**, **Sick**, **Personal**, **Unpaid**, **Holiday**), add an optional **Note** and tap **Submit request**. **My requests** shows each one as **Pending**, **Approved** or **Denied**. **⟳ Check for updates** pulls the newest app version.

## Working offline

* The day's jobs, checklists and property details are saved on the phone. With no signal, **Home** says **You're offline — showing last saved data**.
* Clock-in, clock-out, pause and resume, checklist ticks, shifts and **Complete** all save on the phone when there's no signal. The app shows **Saved on your phone — will sync when you have signal again**. Queued changes are sent in order once the phone has signal.
* Photos wait in an upload queue marked **waiting to upload** and retry automatically. If the server rejects an upload (not a signal problem), it shows **upload failing — tap to retry** and asks the crew member to let you know.
* Anything the server refuses shows under **Sync problems** on **Profile** so crew can tell you what's missing.

## Your notes in the crew's language

Notes you type yourself are shown in the crew member's language, with the original underneath: custom checklist tasks, room names, property notes and job notes. Rinsebase's built-in checklist, room and supply names come already translated. Your original text is never changed. If a translation isn't ready yet, the text shows in English.

## Using Rinsebase from a browser

Crew can also sign in at app.rinsebase.com on any browser. The crew view shows today's schedule and this week, **Start my day** / **End my day** in shift mode, **▶ Start job** and **Complete**, the job details (checklist, photos, supplies), **Add photos**, **Take property photo**, messages and time-off requests (**+ Request**). While a clean is in progress, the browser checks location every 3 minutes. If the crew member is more than 300 m away, it offers **Clock out now** (completes the clean) or **Still working** (snoozes for 15 minutes). Photos uploaded from a browser must be less than 4 hours old. Where the property's map pin is precise, they must also have been taken within 2 km of it. Arrival prompts, SOS, GPS mileage and offline mode are app-only.
